Опис

A fast-paced wholesale distribution company specializing in home goods, located in the heart of Chicago's Loop, is looking for a highly organized Office Manager. Our office serves as the central hub: partners come here for meetings, couriers pick up shipments, and suppliers deliver orders. We need someone who can keep this daily flow running like clockwork.

Key Responsibilities:
- Greeting visitors: signing them in, issuing badges, escorting them to the conference room, and offering coffee or water.
- Managing a multi-line phone system: answering, routing calls to sales or logistics, logging contacts in the CRM, and taking messages.
- Office supply management: conducting weekly inventory of stationery, A4 paper, and printer toner, placing orders with vendors, and tracking deliveries.
- Handling primary documentation: receiving invoices from couriers, sorting them by department, logging them into our ERP system, and forwarding them to accounting by 2:00 PM daily.
- Coordinating with courier services (FedEx, UPS, DHL): generating shipping labels via their online portals, tracking packages, and resolving any delivery delays.
- Assisting the HR team: printing candidate forms, preparing onboarding document packets for new hires, and helping organize team celebrations.

What We're Looking For:
- 1+ years of experience as an office manager, administrative assistant, or front desk coordinator, preferably in trading, logistics, or distribution companies.
- Solid PC skills: MS Word, MS Excel, printers, scanners, and MFPs. CRM experience is a strong plus.
- Excellent English communication skills (written and verbal) — you are the first point of contact for our company.
- Ability to stay calm and organized during peak hours.
- Punctuality and a strong sense of responsibility.

What We Offer:
- Full-time employment from day one, with a comprehensive benefits package.
- Competitive annual salary of $50,000, paid bi-weekly.
- Standard work schedule: Monday–Friday, 9:00 AM to 5:00 PM, with a 1-hour lunch break; weekends off.
- A modern first-floor office with A/C, a dedicated breakroom equipped with a microwave and fridge.
- Convenient location just a 5-minute walk from the L train station.
- A supportive team of 12 people and real opportunities for professional growth.
