The Seattle branch of a major HVAC and plumbing equipment distributor is seeking a confident and organized Executive Assistant for our Regional Director. Since the Director is frequently on the road or meeting with key partners, we need a reliable right hand to remotely coordinate internal branch operations, ensure cross-departmental communication, and handle primary reporting.
Professional Duties:
- Monitoring and coordinating the daily activities of the Seattle office remotely.
- Preparing consolidated reports on sales volumes, warehouse inventory, and departmental KPIs for the Director.
- Managing business correspondence with the corporate headquarters, contractors, and regional dealers.
- Organizing and preparing for online meetings, taking minutes, and tracking the execution of management decisions.
- Assisting with primary document flow (verifying contracts, invoices, and completion acts before forwarding them to accounting).
- Coordinating logistics requests and interacting with courier services to ensure document exchange between branches.
Candidate Requirements:
- 1+ year of experience as an EA, executive secretary, or office administrator.
- Advanced PC skills: MS Office (especially Excel — formulas, pivot tables) and experience with ERP systems (e.g., SAP or NetSuite).
- Strong communication skills, knowledge of business etiquette, and negotiation protocols.
- Ability to quickly process information and solve operational issues independently.
- Punctuality, high personal responsibility, and a professional appearance for video conferences.
Conditions:
- Full-time employment from day one, with all statutory social guarantees.
- Annual salary of $60,000, paid bi-weekly.
- Work schedule: Monday–Friday, 9:00 AM to 5:00 PM (remote format with occasional meetings at our Seattle coworking space).
